Details on the Conversion

Due to the differences in programs and database types, the conversion process for moving textbook information from Textbook Tracker 4 to Alexandria Textbook Tracker 7 is not a straight move. We are essentially moving data from a US MARC21 format into a plain text asset management databasecomplex. This means that some information will not be transferable, not have the same character limitations, or be added to a different field altogether. This has all been explained to you in conversations with our Support and Sales Teams; it's also explained on our online Support Center

Circulation Reproduction

Circulation is a non-transferable item and is reproduced in the conversion process as closely as possible based on the data and limitations of the conversion process. Circulation reproduction is not included in all conversions and needs to be discussed and approved prior to the scheduled conversion date with your COMPanion Account Executive. Circulation reproduction will automatically be included in any conversions scheduled prior to the date of June 30th, 2021.

Circulation reproduction is not a 100% guarantee as there are too many determining factors that are at play when reproduction is created and the transaction script is processed in your new Alexandria Textbook Tracker service. Because of this, we strongly recommend the conversion process be performed during downtime use of the Textbook Tracker program when all items that can be returned have been returned. We also strongly recommend printing all currently-loaned item reports in Textbook Tracker 4 before data is sent in to COMPanion for conversion. These circulation reports can be used as reference until all loaned item history is up-to-date in the new Alexandria Textbook Tracker.

Conversion Review Period and What We Will Do For You

Due to the complexity of the conversion, we are requiring our customers to review the work performed for up to but not longer than 2 weeks after the conversion completion date. This allotted 2 weeks should be enough time to review the data in Alexandria Textbook Tracker and bring forth any questions or issues to our Support and Conversion Teams for review. Correcting any issues past 2 weeks can cause the fix to become increasingly more difficult to address and correct (if even possible at all). We will do everything within our capabilities during the 2 week review process to assist with any questions or fix any problems that are due to errors during the conversion process and not due to limitations of the compatibility of the two programs and databases.

If issues arise past the 2 week review period, customers will be accountable for making corrections themselves or having the option to pay for database cleanup and possibly restoration or a new conversion.

It is important to be diligent and detailed in reviewing your data after the conversion process has been completed.

What You Need To Do

Since we are not proprietors of your data, we do not know how it should look or how it has been set up. This means we can do basic database verifications as far as looking at number totals. It is up to you to review the details of your data after the conversion and ask questions or bring up possible issues to be addressed.

Before the conversion, please review the following items:

  • Review and become familiar with the

  • Self-Hosted Customers
    • Review and become familiar with

      Alexandria Textbook Tracker's Install Requirements.

    • Understand that running Alexandria Textbook Tracker on a server and in an environment that meets the requirements of the program is essential for smooth operation of the program and limited interruptions in system use.

  • Understand that you are responsible for recreating:
    • Preferences
    • Saved Reports
    • Saved Utilities
  • Download Textbook Tracker 4 Exports and Reports for personal records as well as reference material from the COMPanion FTP server.
  • Be specifically aware of the following points:
    • Call Numbers will be moved into the new "Department" field during the conversion. Although the Title ID field replaces this functionality, Title ID must be unique. Because of this, we are using the Department field so you will still have access to this data.
    • The Copy ID field is no longer available (Copy Location and Copy Shelving are available for further copy identification).
    • Some item field information may be truncated to meet v7 specifications.
  • Bring any questions or issues to the attention of COMPanion Customer Support or the Conversions Team within 2 weeks after the conversion completion date.
