They don't know how to map it correctly to update their records in a way that allows them to search on the individual programs and values correctly.  They usually import it wrong and then wonder why it doesn't work in /search.  With complete MARC or MicroLIF records provided by a vendor or data services company, they usually don't have problems - the problems are with the do it yourself types.



You can use an import to update study program information in MARC tags for titles already in your collection.

But before

Before you get started, read these articles to understand how it all works:

Alexandria will use the import header to match the imported data to the correct fields. If your import file does not have a header, however, you will need to map your fields. The following examples show how study program information is  imported to update your MARC records.

You probably wont have any trouble importing MARC or MicroLIF records provided to you by a vendor or data services company, but importing your own

files

data may be a bit more complicated.

Set Up the Import File

Set Up the Import

  • In the imports module, select Items from the categories pane.
  • In the Imports pane, click Choose File.
  • Locate the import file on your computer and click Open.
  • Alexandria uses the import header to match the imported data to the correct fields. If your import file does not have a header,

    click Field Mapping.
  • In the Settings tab, choose the following settings:
    • Import Settings: Add or Update Titles
    • Title Update Matching: ISBN or LCCN
      • Vendor supplied records should contain accurate ISBNs, which make it a reliable identifier for title matching.
    • Skip First Record if Field Mapping: Check this option if your import file includes a header row, or leave unchecked if there is not.

    • Barcode Handling: Select Reassign Only Duplicate Barcodes
  • Go to the Options tab and the Title subtab. Then choose the following options:
    • Title Policy: Choose a default policy for any new items.
    • Use Call Number Policy Mapping: Leave unchecked.
    • Replace MARC Records on Title Match. Leave unchecked so any title record being updated is not inadvertently replaced!
  • Click Run.
