Saved Exports

Tools > Export > Saved tab


The Saved tab contains the custom-created exports that you (or others) have created, saved, and shared. When the Saved tab is selected, Favorite, Shared, and Operator filters (described below) are available Export Selection pane. Keep in mind that Saved exports only keep the selection criteria used to create the export and not the results of the export itself.

Select an Export using the Categories pane, Filter buttons, and Filter bar. The results in the Saved Exports list will only reflect exports pertaining to selected categories. For example, if you select Patrons from the export Categories pane, the Export Selection pane will only display custom-created patron exports.

Selecting a Saved export type from the Export Selection pane automatically populates the bottom portion of the window (i.e. the Selected Export pane), which contains information in the following tabs: Overview, Selections, Options, Notification, Schedule, and FTP. These tabs contain selection settings that are essential to how your information is exported. By default, the Selections tab has focus when a Saved export is selected.

Once a Saved export has been selected, the export can be run, modified, duplicated, or removed.



Saved Export Filters

When the Saved tab is selected, Favorite, Shared, and Operator filters become available in the Export Selection pane. After applying a filter, it remains until manually disabled—even when using the Filter bar. Individual Saved exports can be “favorited” or “shared” by checking the Favorite and/or Shared box(es) in the Overview tab; if the check is removed, they will no longer be marked as “favorite” or “shared”.

  • Filter by Favorite. This button only appears when the Saved tab is selected. Once enabled, you will only see exports marked as Favorite in the Export Selection pane. This filter is applied until it is manually disabled.
  • Filter by Shared. This button only appears when the Saved tab is selected. Once enabled, you will only see exports marked as Shared in the Export Selection pane. This filter is applied until it is manually disabled.
  •  Filter by Current Operator. This button only appears when the Saved tab is selected. Once enabled, you will only see exports that you have created in the Export Selection pane. This filter is applied until it is manually disabled.


Actions Menu

The Actions drop-down menu contains specialized export-specific functions and other tools.

  • Duplicate Export. Should you want nearly identical settings for a custom-created export, this allows you to make a copy of the selected Saved export, give it a new name, and make whatever changes you require.
  • Delete Export. This selection completely removes the selected Saved export from the Export Selection tab. This can not be undone (i.e. Saved exports can not be restored), so think twice before making this selection.


Selected Export Controls

The bottom of the Selected Export pane has some controls that change dynamically depending on whether you have the Quick or Saved tab selected.

  • Show Additional Selections. Some exports have uncommon or infrequently used selections initially hidden from view. When they are, a Show Additional Selections box is available. Once checked, the hidden selection options become available.
  • Create Saved Export. If you would like to save the Quick export you’ve been modifying, click Create Saved Export. After adjusting the default export name (optional), your new export, with custom settings, will be added to the Saved tab. This option only appears for Quick exports.
  • Run. Sends the export to the Operations Management queue; every export you run will be documented in the Show My Operations log in Operation Management.


Overview

Tools > Export > Saved tab

The Overview tab serves as an export summary. It includes the title (e.g. Export Unpaid Fines), export creator, usage notes (e.g. Run at the end of each month to import into our money management software.), and allows you to mark it as a favorite or shared.

Settings

Name

Enter or edit the name of the export here (e.g. Export Unpaid Fines).

Created By

This information is automatically populated with the creator's name and site ID code.

Notes

You can provide general usage notes here.

Favorite

Mark the export as a favorite. You can filter the results in the Export Selection pane to show only those marked as Favorite, which is especially helpful if you find yourself running the same exports regularly.

Shared

Mark the export as shared. You can filter the results in the Export Selection pane to show only those marked as Shared. Sharing frequently-used exports with other operators is often helpful when particular exports are frequently performed.

Selections

Tools > Export > Saved tab

The Selections tab is where you build, format, arrange, limit and/or expand the export to suit your needs. If you find some of your exports lacking the necessary selection information, try checking the Show Additional Selections box for more options. The settings in this tab vary per export.

Options

Tools > Export > Saved tab

Choose sort and format options here. The settings in this tab vary per export.

Schedule

Tools > Export > Saved tab

Use these settings to schedule this export to run on a regular basis. For example, if you want it to run every Saturday at 10:00 p.m, set the following: 

  • Frequency: Weekly
  • On: Saturday
  • At: 10:00 PM

Check this box to unlock the scheduling capabilities.

Frequency

This dropdown menu allows you to specify how often you would like to repeat this export: Once, Daily, Weekly, Monthly, or Yearly.

On

The options here depend on the frequency you selected above.

Once. Choose the date to run this export.

Daily. On options are not necessary.

Weekly. Choose the day the export will run each week.

Monthly. Choose the date the export will run each month.

Yearly. Choose the month and date the export will run each year.

At

Choose the time of day, including a.m. or p.m., to run the export.

Notification

Tools > Export > Saved tab

Here you can enable an email confirmation and link to download the file to be sent to the recipient(s) of your choice once the export is complete.

Settings

Enable Email Notification

Check this box if you want to enable email notifications to be sent upon completion.

Email Notification To

Enter the recipient email addresses. You can provide more than one email address separated by commas.

    • For example: johndoe@examplelibrary.com,janedoe@examplelibrary.com

FTP

Tools > Export > Saved tab

Textbook Tracker can save finished exports to an FTP server. These options allow you to specify the (secure) FTP server address and uername/password credentials.
